AI Self-Reporting: An Ongoing Opportunity

We’re excited to share that the AI Self-Report Process will remain open indefinitely. This extended timeline allows us to gather ongoing insights into how AI is being used at the Choctaw Nation, enabling us to better support your needs, manage resources effectively, and understand how AI is shaping your work.
It is still important for the organization to be aware of how AI is being used. By continuing to self-report your AI usage, you’re helping us:
- Plan for the Future: Insights from your reports will inform our capacity and bandwidth planning, ensuring IT is equipped to support evolving AI needs.
- Discover New Resources: Your knowledge and usage can surface AI tools and capabilities we may not be fully leveraging yet.
This initiative is not about compliance alone—it’s about collaboration and building a shared understanding of how AI is driving innovation at CNO.
Who Needs to Self-Report
- Embedded AI: If your application or system uses built-in AI features for tasks like decision-making or automation, it qualifies as having embedded AI. Examples include Oasis Loyalty, Epic EHR, and Hoshonti. If you’re unsure, collaborate with your BU owner to determine who should self-report on behalf of your unit.
- Standalone AI Tools: If you’re using platforms like ChatGPT, Copilot, or other standalone AI tools to perform work at CNO, we encourage you to self-report these as well.
How to Self-Report
- Open a Ticket: Start by opening a new ticket in Itapela.
- Locate the Form: Navigate to IT Security -> IT Security Requests -> AI Self-Reporting.
- Provide Details: Include any necessary documentation as prompted. Additional information may be requested for security or architectural reviews.
Why This Matters
- Collaboration and Review: Submissions are reviewed by a cross-functional team spanning IT Application Development, Information Security, Information Management, and Privacy.
- Focus on Key Systems: Critical applications with embedded AI will be prioritized, ensuring they meet organizational needs.
- Transparency and Guidance: Every step of the process is documented in your Itapela ticket for clarity and communication.
